The Administrative Associate II serves as the administrative assistant for the Department of Business Administration Program which has 12 full-time faculty members. This position assists in promoting the University’s and College’s strategic plans and accomplishing the missions of the Programs of the College of Business and the University. The person in this position provides administrative and technical support and assigns priority to all office and administrative work. Must be able to handle confidential and sensitive materials in an appropriate manner.

Core Duties:
Perform clerical and administrative functions such as creating or editing correspondence, overseeing multiple work schedules, organizing and maintaining paper and electronic files, running and formatting reports, and providing information to internal and external customers. Additional duties include assisting students with course scheduling, compiling internal meeting minutes, providing administrative support to faculty members and website maintenance.

Duties and Responsibilities:
The Administrative Associate II provides information and procedural advising to applicants, onsite and online students, registers students, delegates new students to the appropriate advisor, accesses class schedules, class rosters, advising lists, PIN numbers and transcripts using Banner, APEX, and other applications; organizes and maintains student records; organizes and maintains various organizational documents for each term; modifies course schedules; maintains course syllabi; routes and tracks graduation applications; processes faculty evaluations; gathers and processes programmatic information for grants and accreditation reporting requirements; assists with travel processes; processes payroll documents; manages website maintenance; and handles other support functions. The successful applicant is expected to support and participate in the University’s commitment to continual quality improvement.
 
Required Qualifications:
  • High School Diploma
  • Experience in planning, organizing, scheduling and prioritizing simultaneous work assignments to meet deadlines
  • Strong computer skills, including experience with Microsoft Word, Excel and Outlook
  • Ability to interact constructively and professionally with students, faculty, staff and others
  • Ability to identify and solve problems
  • Excellent customer service and telephone skills required
  • Experience working with confidential information
Preferred Qualifications:
  • Bachelor’s degree or higher
  • Experience in field of Higher Education
  • Experience with assisting students
  • Experience with Banner Software and course scheduling
