Administrative Assistant

Collaborative Design Architects, Inc. is seeking a dedicated and experienced Administrative Assistant to join our team. The Administrative Assistant will be responsible for providing administrative support, assisting with office coordination tasks, and answering the phone for a professional office. Position may also assist with limited billing, accounts payable/receivable tasks. This role utilizes strong organizational skills, and attention to detail. Responsibilities:Maintain office file system, archives, and records.Organize and track digital files and project processes.Assist with design contract-based technical writing.Edit, create, and review spreadsheets.Collect and distribute mail.Implement fee matrices and narrative to draft contract language.Create and maintain sub-consultant agreements.Coordinate office logistics such as making travel arrangements and scheduling meetings.Welcome visitors, screen and answer phone calls, and direct inquiries to the appropriate personnel.Prepare conference rooms and reception area for meetings.Assist staff and partners with specific client requests.Maintain professional atmosphere in the office.
