Administrative Assistant
Collaborative Design Architects, Inc. is seeking a dedicated and experienced Administrative Assistant to join our team.

The Administrative Assistant will be responsible for providing administrative support, assisting with office coordination tasks, and answering the phone for a professional office. Position may also assist with limited billing, accounts payable/receivable tasks. This role utilizes strong organizational skills, and attention to detail.
Responsibilities:
- Maintain office file system, archives, and records.
- Organize and track digital files and project processes.
- Assist with design contract-based technical writing.
- Edit, create, and review spreadsheets.
- Collect and distribute mail.
- Implement fee matrices and narrative to draft contract language.
- Create and maintain sub-consultant agreements.
- Coordinate office logistics such as making travel arrangements and scheduling meetings.
- Welcome visitors, screen and answer phone calls, and direct inquiries to the appropriate personnel.
- Prepare conference rooms and reception area for meetings.
- Assist staff and partners with specific client requests.
- Maintain professional atmosphere in the office.
Requirements:
- High school diploma or equivalent
- Positive work attitude and the ability to multitask and prioritize tasks effectively.
- Experience in Microsoft Office Suite: Word, Excel, and Outlook
- Knowledge of the architectural or professional engineering field is a plus.
- Strong communication and organizational skills
- Experience in accounting, a plus.
- Must work a minimum of 32 hours per week, 8-5, M-F.
